The New Gaia Workspace Is Coming Soon

--Why We Redesigned Gaia Workspace

Over the years, we've had the opportunity to work with organizations across many different industries. What started as conversations about facility booking quickly evolved into broader discussions about workplace operations, resource visibility, and employee experiences.

One thing became clear: customers were looking for much more than a booking system.

They wanted a simple way to understand how their facilities were being used, reduce administrative overhead, and make workplace resources easier to manage. These conversations inspired us to rethink Gaia Workspace and build a platform that solves the challenges we see every day in the modern workplace.

Bringing Facility Visibility into One Place

A challenge we hear repeatedly from customers is that booking information is often scattered across multiple applications.

Meeting rooms may be booked through Outlook, collaboration spaces reserved through Teams, and specialized facilities managed through industry-specific scheduling systems. In healthcare organizations, for example, appointment systems and workplace booking systems often operate independently, making it difficult to get a complete picture of facility availability.

As a result, facility managers spend valuable time trying to answer simple questions:

"Which rooms are available right now?"

"How heavily are our facilities being utilized?"

"Where are scheduling conflicts occurring?"

To address this, we built a centralized calendar experience that brings facility bookings together into a single visual view. Managers can instantly understand availability, occupancy, and upcoming events across their organization.

We also recognized that visibility shouldn't stop with facility managers. Employees, visitors, and reception staff often need the same information. That's why the new Gaia Workspace includes display dashboards that can be shown on reception screens, iPads, TVs, or e-paper devices, providing real-time visibility of room schedules and facility availability.

Simplifying the Approval Process

Another common challenge involves facility approvals.

Many organizations have high-demand spaces that require approval before they can be reserved. While approvals are important, the process itself can sometimes create unnecessary delays. Requests become stuck while approvers are away, facility availability decreases, and users are left waiting for updates.

Customers told us they wanted an approval process that was simple, fast, and flexible.

In response, we've redesigned our approval workflows to support multiple approvers, delegated approvers, and backup approvers. The result is a smoother experience that helps organizations maintain governance while ensuring facilities remain accessible and efficiently utilized.

Supporting Events with Ease

We also learned that facility bookings are often tied to larger workplace activities.

Consider an annual board meeting or company-wide training event. Organizers don't just need a meeting room. They may also need breakout rooms, visitor parking, hot desks for attendees, and other shared resources.

Traditionally, these reservations are made one by one at a time, creating additional work and increasing the likelihood of missed bookings.

To simplify the process, we introduced Multi-Facility Booking, allowing users to reserve multiple workplace resources as part of a single request. Whether planning a board meeting, a training session, or a corporate event, users can now coordinate everything from one place.

Looking Ahead

The redesign of Gaia Workspace is about more than introducing new features.

It's about helping organizations better understand and optimize their workplace environments. As workplaces continue to evolve, we believe organizations need a platform that not only manages bookings, but also provides visibility, simplifies operations, and supports better workplace experiences for everyone.

This is why we've redesigned Gaia Workspace. And this is only the beginning.

A smarter, more visual, and more intuitive way to manage workplace resources.

One platform. Complete visibility. Better utilization.

Stay tuned for the official launch.
